Xavier Delattre runs his accounting firm with about eighty customers. He has been offering them an even better service since April 2018, thanks to the implementation of Banqup, Unifiedpost Group's community platform. "A huge advance, both for our firm and for our clients," he says.
Even before the implementation of Banqup, Xavier Delattre put his office firmly into digitization. "We managed our documents digitally as much as possible, even when many of our competitors still worked largely with paper. We were also always looking for the best tools for this. For a long time we used an electronic tool that helped us a lot, but also had some disadvantages. First of all, our customers still had to pre-encode everything themselves. For many of them, that was too high a threshold, preventing them from joining the system. Then again, for other customers, especially smaller ones, the monthly cost of the tool was the main barrier."
Creative with scanners
To still offer his customers maximum digitization and automation, Delattre pulled out all the stops. He also worked out a system where customers could send their scanned documents to a specific e-mail address with a specific subject line. "In itself an advance, but also not foolproof: if the customer made a mistake in the subject line, for example, it still went wrong. For a while we even offered our customers pre-programmed scanners. They were set up to automatically send all scanned documents to us in the right way. Our customers were very grateful, but we still had the problem that the documents came in as PDF files. Delattre clearly went to great lengths for his customers, but a simple flow of documents between the customer and his office remained a distant dream. Until he came across Banqup....
Maximum unburden
"This system is really a breath of fresh air. The biggest advantage is that it saves our customers so much time and work. In fact, our customers all want the same thing: to get their documents to us as simply and quickly as possible, and then not have to worry about them anymore. This is exactly what we can offer them thanks to Banqup."
According to Delattre, the strength of Banqup lies mainly in two things. First and foremost: the convenience of pre-encoding the documents, where, for example, the metadata is also automatically recognized and the documents are converted to electronic format. "That saves our customers in particular a lot of work," Delattre points out. "But it also benefits us a lot. After all, all documents come in as UBL and VAT processing also becomes much easier. This eliminates the further manual invoice processing process and we have the guarantee that no errors have crept into the coding. And our customers have the guarantee that their outgoing invoices are correct and that they get to their customers faster, which means they also get paid faster."
The efficiency gains are most noticeable in companies with many small customers. Delattre is convinced that, depending on the type of customer, his office saves between 15 and 50 percent of time in sales encoding. "Especially since the creation of the customer sheet is done automatically through the UBL. And even though the efficiency gain is less as far as purchases are concerned, we sometimes achieve up to 15 percent time savings there as well."
Maximizing potential
Delattre is convinced that he is not yet using the full potential of Banqup. "In the future, I definitely want to use payment services as well. Then payment from my customers to me will also happen more streamlined and faster. I am really very satisfied with Banqup, especially since it is such an easy-to-use system, even for my employees," he concludes.
